5 QuickBooks® Tips Every Small Business Owner Should Know

Jim Merritt - July 24, 2025
Updated October 23, 2026, to reflect current QuickBooks® features and training recommendations.
QuickBooks® is a powerful accounting tool, but many small business owners use only a fraction of its capabilities.
When used correctly, QuickBooks® Online (QBO) and QuickBooks® Desktop can help you manage income, expenses, customer invoices, bank reconciliations, and financial reporting.
At QuickTrainer, Inc., we've helped businesses get more from their QuickBooks® software since 2006.
Here are five practical tips to help you save time, improve accuracy, and become more confident managing your business finances.
1. Customize Your Chart of Accounts
Your Chart of Accounts determines how financial transactions are classified and displayed on your financial reports.
Rather than recording expenses to generic accounts, establish meaningful categories such as Advertising, Insurance, Office Supplies, and Utilities.
My recommendation: Keep your Chart of Accounts organized without creating unnecessary accounts.

2. Use Bank Feeds and Bank Rules
QuickBooks® Online can download transactions from connected bank and credit card accounts, reducing manual data entry.
Bank Rules can automatically categorize certain recurring transactions, such as monthly utility payments.
However, there's an important distinction between Adding and Matching transactions.
If a transaction already exists in QuickBooks®, adding the downloaded transaction again may create a duplicate.
My recommendation: Review downloaded transactions carefully and never assume QuickBooks® automatically selects the correct category.

3. Take Advantage of Recurring Transactions
Do you enter the same transactions every month?
Depending on your QuickBooks® product and subscription, recurring transaction features can help automate repetitive accounting tasks.
Examples include:
Monthly customer invoices.
Recurring expenses.
Regular journal entries.
QuickBooks® Online offers recurring transaction templates that can automatically create certain transactions, provide reminders, or be used when needed.
My recommendation: Automation saves time, but periodically review recurring transactions to ensure amounts, dates, and account classifications remain accurate.
4. Consider Class and Location Tracking
Would you like to know which departments, services, or business locations generate the most revenue?
QuickBooks® Online supports Class and Location tracking in certain subscriptions.
For example, a company operating two locations may want to compare each location's financial performance.
Similarly, Class tracking can help evaluate different departments or service offerings.
Before enabling these features, determine what information you want your financial reports to provide.
For more information, see Intuit's Guide to Class Tracking.
5. Understand Your Financial Reports
This may be the most important tip of all.
QuickBooks® can generate financial statements quickly, but understanding what those reports mean is essential.
Three reports every business owner should understand are:
Profit & Loss: Shows income, expenses, and net profit or loss over a selected period.
Balance Sheet: Shows assets, liabilities, and equity as of a particular date.
Statement of Cash Flows: Explains how cash moves through your business.
Understanding these reports can help you identify unusual balances, monitor profitability, and make better business decisions.
Through our One-on-One Training for QuickBooks Users, we can teach you how to generate, customize, and interpret these important reports.
