Don't Delete Previously Reconciled Transactions in QuickBooks® Online!

Jim Merritt - June 6, 2025

Updated October 23, 2026, to reflect current QuickBooks® Online reconciliation guidance.

Deleting a previously reconciled transaction in QuickBooks® Online can create a BIG headache!

I see clients make this mistake far too often.

Perhaps I should put that another way: Too many QuickBooks® Online (QBO) users ignore the warning that appears when they attempt to change or delete a previously reconciled transaction.

That warning is there for a reason!

QuickBooks® is trying to tell you that you're about to modify a transaction that was already included in a completed bank or credit card reconciliation.

My advice? STOP and understand exactly what you're changing before proceeding.

Why Is the QuickBooks® Reconciliation Warning So Important?

When you reconcile a bank or credit card account in QuickBooks® Online, you're confirming that the transactions recorded in QuickBooks® agree with the corresponding financial institution statement.

Once your reconciliation is completed successfully, those reconciled transactions become part of your accounting history.

Now imagine that you subsequently delete one of those transactions.

The next time you attempt to reconcile the account, QuickBooks® may report that your beginning balance is incorrect.

Why?

Because a transaction that was previously included in a completed reconciliation no longer exists.

You reconciled successfully the last time, right? So why would you want to remove or change the amount of a previously reconciled transaction?

That's exactly why QuickBooks® displays a warning.

What Happens When You Delete a Reconciled Transaction?

Deleting or improperly changing a previously reconciled transaction can create several problems:

  • Incorrect beginning balances: Your next reconciliation may begin with a discrepancy.

  • Reconciliation errors: Previously reconciled amounts may no longer agree with the bank or credit card statement.

  • Inaccurate financial reports: Your Balance Sheet or Profit & Loss Statement may be affected.

  • Additional cleanup work: You may have to investigate prior reconciliations to determine what changed.

  • Wasted time and money: Correcting reconciliation problems can require considerable accounting research.

Sometimes these problems are relatively easy to identify.

Other times, particularly when transactions have been changed or deleted across several months, resolving the discrepancies can become much more complicated.

If your beginning balance no longer agrees with your previous reconciliation, consider QuickTrainer's Data Review Services for QuickBooks® Users.

We can help identify what changed and determine the appropriate corrective action.

Can You Safely Edit a Previously Reconciled Transaction?

Yes! But you need to understand which changes generally affect the reconciliation.

For example, suppose you discover that you accidentally categorized an expense to Office Supplies when it should have been recorded to Telephone Expense.

If the transaction's bank account and amount remain unchanged, correcting the expense category generally won't affect the bank reconciliation.

Similarly, correcting a transaction memo or description generally won't disturb the reconciliation.

However, making changes to the transaction's amount, bank account, or reconciliation status may create problems.

Here's a general guide:

Transaction Change

Reconciliation Impact

Correcting a memo or description

Generally safe

Correcting an expense category

Generally safe if the reconciled bank account and amount remain unchanged

Changing the transaction amount

May cause a discrepancy

Changing the bank or credit card account

May cause a discrepancy

Deleting the transaction

May cause a discrepancy

Changing the reconciliation status

May affect beginning balances

Important: Even changes that don't affect your reconciliation can affect previously issued financial reports or filed tax returns. Review the accounting impact before changing transactions from prior periods.

And remember, just because QuickBooks® allows you to proceed after displaying a warning doesn't mean you should!

What Should You Do If a Reconciled Transaction Really Is Wrong?

Occasionally, you'll discover that a previously reconciled transaction contains an error that genuinely needs correction.

For example:

  • A check was entered for the wrong amount.

  • A transaction was reconciled to the wrong bank account.

  • A duplicate transaction was mistakenly reconciled.

  • A transaction was deleted by accident.

  • Someone changed a previously reconciled transaction without realizing the consequences.

In these situations, the appropriate correction depends on what happened.

Don't automatically delete the transaction, change its reconciliation status, or create a journal entry to force the difference to zero.

Instead, determine the source of the discrepancy and identify the correction that preserves accurate accounting records.

What If You Need to Undo a Previous Reconciliation?

Sometimes correcting a problem requires undoing an entire reconciliation.

QuickBooks® Online provides authorized users, including accountants with appropriate access, the ability to undo previously completed reconciliations.

At QuickTrainer, we can assist clients with this process when it's appropriate.

However, there's something important to understand.

Undoing a previous reconciliation may also undo reconciliations completed after that period.

For example, if you have reconciled your bank account through June and decide to undo March, QuickBooks® may also undo April, May, and June.

Those periods would then need to be reconciled again.

Additionally, undoing a reconciliation can permanently remove the associated reconciliation reports and attachments. Save any records you need before proceeding.

That's why I recommend investigating the problem before deciding whether an entire reconciliation needs to be undone.

Sometimes correcting an individual transaction is sufficient.

Other situations require more extensive work.

If you've already created reconciliation problems, our Cleanup Services for QuickBooks® Users can help correct errors and restore confidence in your accounting records.

Already Deleted or Changed a Reconciled Transaction?

If you've already deleted or changed a previously reconciled transaction, don't continue making adjustments in hopes of fixing the problem.

The first step is to identify exactly what changed and how it affected your reconciliation.

QuickTrainer can help.

Our Data Review Services for QuickBooks® Users can help determine the cause of reconciliation discrepancies.

If corrective work is needed, our Cleanup Services for QuickBooks® Users can help address the problems identified.

And if you want to prevent similar mistakes in the future, our One-on-One Training for QuickBooks Users can help you better understand the reconciliation process.

The Bottom Line: Don't Ignore That Warning!

When QuickBooks® Online warns you that you're about to change a previously reconciled transaction, pay attention!

Some changes are perfectly reasonable.

Others can create reconciliation discrepancies, inaccurate financial statements, and unnecessary cleanup work.

My recommendation is simple: If you're unsure how a change will affect a previously reconciled transaction, DON'T DO IT until you understand the consequences.
