QuickBooks® Online Cleanup: 7 Essential Tips for Accurate Books and Easier Tax Preparation

Whether it's the middle of the year or you're preparing for tax season, keeping your QuickBooks® Online (QBO) accounting records organized should be a priority.
Duplicate transactions, reconciliation discrepancies, outdated customer balances, and incorrectly categorized expenses can create inaccurate financial reports and unnecessary headaches.
At QuickTrainer, Inc., we've been helping businesses with QuickBooks® software since 2006. One thing we've learned is that regular bookkeeping maintenance is much easier than correcting months or years of accumulated accounting mistakes.
Here are seven practical ways to keep your QuickBooks® Online records accurate and organized.
1. Reconcile Your Bank and Credit Card Accounts
Monthly reconciliation is one of the most important steps in maintaining accurate accounting records.
Reconciliation compares the transactions recorded in QuickBooks® with your actual bank and credit card statements.
When reviewing your accounts:
Verify that all necessary transactions have been recorded.
Look for duplicate or missing transactions.
Investigate incorrect amounts and outstanding items.
Reconcile each account through the statement ending date.
To begin, navigate to All apps → Accounting → Reconcile.
QuickTrainer Tip: Don't make adjustments simply to force a reconciliation difference to zero. Identify and correct the actual problem.
For detailed instructions, see Intuit's guide to reconciling accounts in QuickBooks® Online.
2. Review Undeposited Funds
One of the most common problems we encounter is an Undeposited Funds account containing old customer payments.
Undeposited Funds temporarily holds payments received but not yet included in a recorded bank deposit.
If payments remain there unnecessarily, your Balance Sheet may contain an inaccurate balance.
Review this account for:
Payments that were already deposited.
Duplicate customer payments.
Deposits that weren't recorded correctly.
Old transactions requiring investigation.
QuickTrainer Tip: Don't simply delete transactions to clear Undeposited Funds. Determine whether the payments were deposited, duplicated, or recorded incorrectly.

If your records contain questionable balances, QuickTrainer's Data Review Services for QuickBooks® Users can help identify the underlying problems.
3. Review Accounts Receivable and Accounts Payable
Old customer invoices and unpaid vendor bills can create misleading financial reports.
Run your Accounts Receivable and Accounts Payable Aging reports regularly.
Look for:
Customer invoices showing unpaid even though payment was received.
Unapplied customer payments or credits.
Duplicate vendor bills.
Old balances that may require correction.
Bills that have already been paid but remain outstanding.
Before writing off balances or deleting transactions, investigate what actually happened.
If prior accounting mistakes require correction, our Cleanup Services for QuickBooks® Users can help restore accuracy.
4. Review Transaction Categories and Bank Rules
Incorrectly categorized transactions can distort your Profit & Loss and Balance Sheet.
Pay particular attention to accounts such as:
Uncategorized Income.
Uncategorized Expense.
Ask My Accountant.
Suspense or clearing accounts.
Owner's Draw or Owner's Contributions.
Also review your Bank Rules.
Although Bank Rules can save time, an incorrectly configured rule may repeatedly classify transactions to the wrong G/L account.
QuickTrainer Tip: When reviewing downloaded bank transactions, determine whether each transaction should be matched to an existing entry or categorized as a new one.
Our One-on-One Training for QuickBooks Users can help you understand these important distinctions.
5. Review Your Chart of Accounts and Contact Lists
Over time, businesses sometimes accumulate unnecessary G/L accounts, duplicate customers, and outdated vendors.
Review your Chart of Accounts for duplicate or unused accounts and unclear account names.
Likewise, examine customer and vendor lists for duplicate or inactive records.
Exercise caution before merging accounts or names because merging can be difficult or impossible to reverse.
A well-organized Chart of Accounts makes your financial reports easier to understand.
If you're creating a new accounting file or restructuring an existing setup, QuickTrainer's Setup Services for QuickBooks® Users can help establish an appropriate accounting structure.
6. Review Your Financial Reports
After reviewing transactions and reconciliations, run several essential financial reports.
Profit & Loss: Look for unusual expenses, missing income, and significant changes from previous periods.
Balance Sheet: Review asset, liability, and equity balances for amounts that don't make sense.
Accounts Receivable Aging: Investigate outstanding customer invoices and old balances.
Accounts Payable Aging: Verify unpaid vendor bills and identify possible duplicates.
General Ledger: Examine transaction-level activity when investigating questionable account balances.
Remember, a reconciled bank account does not automatically mean your financial reports are accurate.
For additional guidance, review Intuit's QuickBooks® Online year-end checklist.
7. Review Data Security and Preserve Important Records
QuickBooks® Online is cloud-based, but protecting your financial information remains your responsibility.
Consider these practices:
Review user permissions regularly.
Remove access for former employees and unnecessary users.
Use multifactor authentication.
Export important financial and reconciliation reports periodically.
Retain supporting documents and transaction records according to applicable retention requirements.
QuickBooks® Online stores your accounting information in the cloud, but don't assume every subscription includes the same customer-accessible backup and restoration capabilities.
When Does Your QuickBooks® File Need Professional Cleanup?
Not every accounting problem requires an extensive cleanup project.
Sometimes a few transactions need correction. Other situations involve multiple years of inaccurate records, reconciliation discrepancies, and unreliable account balances.
A Data Review can help determine the extent of the problem before substantive cleanup begins.
If your business needs ongoing assistance maintaining accurate records, QuickTrainer also offers Bookkeeping Services for QuickBooks® Users.
The Bottom Line: Don't Wait Until Tax Season
Regular QuickBooks® maintenance helps prevent small mistakes from developing into expensive accounting problems.
Reconcile monthly, investigate unusual balances, review financial reports, and correct problems before they accumulate.
The best time to clean up your QuickBooks® file is before the problems become overwhelming.
