When a Data Review Makes Sense

Reconciliations

Reconciliations are one of the first places we may look when reviewing a QuickBooks® file.
We may review whether:
Bank accounts have been reconciled regularly
Credit card accounts have been reconciled
Beginning balances agree with prior reconciliations
Previously reconciled transactions have been changed or deleted
Old unreconciled transactions remain in the account
Duplicate transactions are causing reconciliation differences
Reconciliation adjustments have been used
The QuickBooks® balance agrees with the actual financial institution balance
A reconciliation problem is often a symptom of a larger issue somewhere else in the file.
Balance Sheet and Profit & Loss Review

Your financial statements can reveal a great deal about the condition of your QuickBooks® data.
We review your Balance Sheet and Profit & Loss for balances or activity that may deserve additional attention.
This might include:
Negative asset balances
Unusual liability balances
Old clearing account balances
Unexpected loan balances
Income posted to the wrong accounts
Expenses posted inconsistently
Large or unusual changes from one period to another
Accounts with balances that do not appear reasonable
Transactions posted to accounts that are rarely used

Old customer and vendor balances can remain inside QuickBooks® for years if they are not reviewed periodically.

The Bank Transactions area in QuickBooks® Online can save time, but it can also create duplicate or incorrectly categorized transactions when it is not used properly.
We may look for:
Transactions that were Added when they should have been Matched
Duplicate income
Duplicate expenses
Incorrect Bank Rules
Transfers categorized as expenses
Credit card payments recorded incorrectly
Deposits added separately from existing QuickBooks® transactions
Transactions assigned to the wrong G/L account

Undeposited Funds and Clearing Accounts
Undeposited Funds and clearing accounts are designed to hold transactions temporarily.
When they contain old balances, there is usually something that needs to be investigated.
We may review:
Old customer payments remaining in Undeposited Funds
Deposits that were recorded twice
Payments that were never included in a deposit
Clearing accounts that are not returning to zero
Third-party payment activity that has not cleared properly
Payroll or merchant service clearing balances
Transactions that may have been posted to the wrong account
These balances can often provide important clues about what is happening inside the file.
