Why Doesn't My QuickBooks® Online Balance Match My Bank Balance?

Why Doesn't My QuickBooks® Online Balance Match My Bank Balance?

Jim Merritt – November 2, 2026

Have you ever opened QuickBooks® Online and wondered why your bank balance doesn't match the balance shown in QuickBooks®?

The good news is that a difference doesn't automatically mean something is wrong.

Sometimes the difference is perfectly normal. Other times, it may indicate missing transactions, duplicates, reconciliation discrepancies, or other accounting problems.

Let's explore why these balances differ and what you should check before making corrections.

Bank Balance vs. In QuickBooks Balance

When you connect a bank account to QuickBooks® Online, you'll generally see two balances in the Bank Transactions area.

Bank Balance: The balance reported by your financial institution during the most recent bank-feed update.

In QuickBooks Balance: The balance based on transactions recorded in your QuickBooks® account register.

For example, suppose your bank reports $12,000, but QuickBooks® shows $11,250.

Perhaps you've recorded a $750 check that hasn't cleared the bank. QuickBooks® reflects the payment, but your bank doesn't.

That difference is normal and doesn't necessarily indicate an accounting problem.

Five Common Reasons the Balances Don't Match

1. Outstanding Checks and Deposits

Checks recorded in QuickBooks® may not have cleared the bank. Likewise, deposits may be recorded in QuickBooks® before appearing at your financial institution.

These timing differences are normal.

2. Downloaded Transactions Haven't Been Reviewed

Transactions downloaded into the Bank Transactions area generally don't affect your QuickBooks® account balance until they're added or matched appropriately.

Review downloaded activity regularly to ensure transactions are properly recorded.

3. Duplicate Transactions

Duplicates often occur when downloaded bank transactions are added instead of matched to existing entries.

For example, adding a downloaded bill payment that was already recorded can duplicate an expense or payment.

4. Incorrectly Recorded Transactions

Incorrect amounts, transaction dates, account assignments, or automated Bank Rules can cause account balances to differ.

Third-party applications may also contribute to incorrectly recorded or duplicate activity.

5. Changed or Deleted Reconciled Transactions

Changing or deleting previously reconciled transactions can affect beginning balances and create discrepancies in future reconciliations.

What Should You Check First?

Before making corrections, follow these steps:

  1. Check the bank-feed update date. Make sure the reported Bank Balance reflects recent banking activity.

  2. Review outstanding transactions. Identify checks, deposits, or transfers that haven't cleared.

  3. Review Bank Transactions. Determine whether downloaded activity should be added, matched, or excluded.

  4. Look for duplicates. Pay particular attention to payments, transfers, and deposits.

  5. Review recent reconciliations. Determine whether previously reconciled transactions have been changed or deleted.

Never delete transactions or enter adjustments simply to force the balances to match.

The correct solution depends on identifying the underlying cause.

Does a Difference Mean Your Books Are Wrong?

Not necessarily.

Your Bank Balance and In QuickBooks Balance don't need to match at every moment for your accounting records to be accurate.

What matters is whether legitimate transactions are recorded correctly and your accounts reconcile to the appropriate bank statements.

However, persistent, unexplained differences may indicate accounting problems requiring investigation.
